What is this?

This document outlines how projects will be 'officially' closed once completed at the CVT. The goal of this process is to highlight and celebrate all the achievements of completed projects, as well as ensure that our resources (website, Airtable etc.) remain updated.

1: A project decides to close

Once a project lead feels like it is time for the project to end (i.e., because the end goals have been achieved, because they do not have the time to continue leading the project etc.), they will inform:

  1. The Project Development Directors (currently Ayan and Aarushi)
  2. The Executive Director (currently Gabrielle)

2: Celebrating the project's achievements

The project leads and above-mentioned Directors will work with the project leads to determine the best way(s) to celebrate the achievements of the project. Options include, but are not limited to,:

  1. Submitting an article to local media, the universities/institutions project members are affiliated to, our Medium, and our website.
  2. Organizing a short webinar or podcast for project members to discuss their project and what they achieved.
  3. Featuring the project on social media.
  4. Certificates/letters for project members describing their involvement in the project.

The #cvt-communicators team will be involved as needed throughout this process.

3: Updating the website and Airtable

The executive director will ensure that the website is updated and indicates that this project is no longer active. If possible, a short post detailing what the project achieved and who was involved will be posted to the website.

The executive director will also ensure that the Airtable is updated and that the project is moved to the archive.
